Key Responsibilities:

 

FMLA, Disability, Company Specific and Personal Leave Administration

  • Determines employee eligibility for Leaves of Absences, including but not limited to FMLA and State-specific related leaves, Short-Term Disability, and Long-Term Disability.

  • Provides accurate information to employees regarding leave eligibility and entitlements, as well as employee responsibilities before and during their leave.

  • Administers FMLA, Disability and personal leaves for employees in multiple States, in accordance with State and Federal regulations.

  • Administers Company specific leave in accordance with policy.

  • Researches and collects data for analysis of leave management.

  • Partners with 3rd party administrators to ensure timely and accurate claims processing.

  • Maintains highly confidential employee Personal Health Information and files.  Ensures HIPAA compliance.

  • Regularly interacts and communicates with employees, managers, and HRBP to ensure proper leave administration, leave tracking and certification/recertification requests are completed properly and timely.

  • Provides Leave of Absence guidance and direction to employees, HR Partners, Managers and Payroll.

  • Responds to non-routine inquiries from management and employees regarding Leaves of Absence (LOAs) in a timely, customer centric manner.

  • Ensures proper tracking of LOA designated hours and certification end dates to ensure compliance with all applicable state/federal leave laws.

  • Conducts regular audits of the leave process to ensure adherence to policies, guidelines, and regulations.

  • Ensures that employees return to work as required and facilitates a high level of compliance with the return (e.g., medical restrictions as they pertain to the ADA, etc.).

 

Benefits Coordinator and Resource

  • Respond to HR and employee benefit inquiries

  • Process vendor payments accurately and timely

  • Investigate issues and answer inquiries internally or from external vendors

  • Monitor accounts payable to ensure payments are accurate and timely

  • Set up new vendors in the IBIS system

 

Position Requirements

  • 4+ years of experience with applicable employment laws (Federal and State FMLA, State-Specific Leaves, ADA, etc.)

  • 4+ years of experience with the administration of major disability compensation programs (e.g., Wage Replacement Benefits, Medical Treatments, etc.).

  • 4+ years of experience working with Workers Compensation claims, Disability claims, 3rd party administrators, benefits, etc.

  • Timely reporting

  • Ability to work or act as liaison between other departments

  • Ability to partner with others

  • Ability to manage multiple projects at the same time

  • Intermediate level expertise with Microsoft Office

  • Intermediate level expertise with Google for Work

  • Ability to process a wide variety of tasks with considerable volume

  • Strong consultative, analytical and problem solving skills

  • Ability to stay organized and manage detailed information

  • Ability to maintain a high level of confidentiality

  • Able to work quickly and effectively with minimal supervision
